There are three reservable Meeting Rooms located on the third floor of the Kolligian Library. Note that a 24-hour advance booking notice is required for all meeting room requests. Rooms are available for use by students, faculty and staff. Pending availability, note that UC Merced Student clubs may reserve Library meeting rooms once per week, for up to 4 hours.
Large rooms can accommodate 20-24 people in a meeting table arrangement. Meeting rooms are normally locked. A key must be checked-out from the Library Services Desk to access these rooms.

- Reserve a library meeting room by using the Campus Reservation System
(use the dropdown menu to select Library Event/Meeting Space - see the tutorial for more information)
- Note that reservations may not be processed in advance of the current semester.
- Each room contains a dry erase board (for use only with dry erase markers).
- The window shades may be raised or closed as needed. Some shades have manual closers, while others are operated via a toggle switch on the wall.
- Posters, notes, post-its and other items may not be hung on walls or windows.
- Meeting Rooms are adjacent to other study areas. Excessive noise is disruptive. Amplification devices are not allowed and activities should not be audible outside the room.
Dry erase markers, erasers, and VGA cables are available for loan at the Library Services Desk on the 2nd floor of the Library.
Security- The Library is not responsible for the security of any items left in rooms.
- Items left in rooms will be removed by Library staff and placed in the Library Lost and Found. Ask about lost-and-found items at the Library Services Desk.
- Valuable items are turned over to the UC Police Department immediately (e.g., laptops, phones, etc).
Failure to comply with established policies may result in suspension of reservation privileges and/or other Library privileges.
Located on the third floor of the Kolligian Library’s East Wing, KL362 is configured to support typical administrative conference and meeting requirements.
Features
- Conference table that seats up to 18 people.
- Easy to use projector with interactive whiteboard/projection screen (smartboard).
- Conference phone capabilities available to UCM departments with FAU.
- Dry erase board and markers.
- Adjustable window shades that may be raised or lowered via a toggle switch on the wall.
- Reserve the Library Conference room by using the Campus Reservation System
Room Use
- All meetings (including setup and takedown) must begin and end within normal library operating hours
- Use only dry erase markers on the dry erase board(s)
- Meeting Rooms are adjacent to student study areas. Excessive noise is disruptive. Amplification devices are not allowed and activities should not be audible outside the room.
- Posters, notes, post-its and other items may not be hung on walls or windows. Portable presentation easels are available for loan at the Library Services Desk.
Security
- The Library is not responsible for the security of any items left in rooms.
- Items left in rooms will be removed by Library staff and placed in the Library Lost and Found. Ask about lost-and-found items at the Library Services Desk.
- Valuable items are turned over to the UC Police Department immediately.
Compliance
Failure to comply with established policies may result in suspension of reservation priveleges and/or other Library priveleges.
The Audio Visual Room on the third floor of the library is available for course-related viewing of visual media. Faculty-selected DVDs are loaded to a 500-Disc DVD changer, and students view them in small groups after reserving the room. The AV room can accommodate 10 people. Faculty may supply materials from their personal collections or use materials owned by the Library. Materials from other sources may also be requested but may require additional time for processing.

- Be aware that requesting materials from outside sources may require additional time for processing.
Student AV Room Reservation Requests
- Students who reserve the AV room assume responsibility for the viewing group

Reservations can be made:
- in person at the Service Desk on the second floor
- by using the Campus Reservation System - In-person reservations require CAT card ID for the responsible party at time of booking and again on viewing date to check out a room key
- Online reservations require CAT card ID for the responsible party on viewing date.

Note: A small number of portable TV/VCR/DVD units are available for checkout by students, faculty and staff. You can reserve a unit online by contacting the library at
library reservations@ucmerced.edu .
KL155 on the first floor of the library serves primarily as a reading room, but it is available for limited use by:
- Office of Student Life and sanctioned UC Merced clubs*
- UC Merced departments
Space inside and immediately outside KL155 is set aside for tabling.

Access and Safety
The glass doors provide primary access to the Library and primary emergency egress. Because of access and safety requirements, tabling is only allowed in designated locations as indicated on the tabling diagram.
Furniture
Event coordinators/sponsors are responsible for set-up and clean-up. Furniture moving must be contracted with UC Merced Facilities Management department. Furniture must be repositioned immediately following the completion of scheduled tabling.
Access to the coffee kiosk, the doors that provide access to the west wing, and entrance/exit doors must not be blocked or obstructed.
*UCM clubs may request table(s) by visiting OSL's front desk.
Noise
KL 155 is by nature a noisy space. The normal noise of a group of people does not disrupt those who are using other Library reading rooms. However, amplified sound is disruptive to activities in surrounding spaces. Voice and music amplification is not allowed inside or immediately outside KL155 except on Friday and Saturday evenings after 6:00pm. Exceptions must be approved in advance by the University Librarian.
Information and directional signs
No signage may be posted on any exterior or interior surface of the Kolligian Library. Free-standing, temporary signs provided by the event host may be used if they do not interfere with Library operations and if they are removed promptly after the event.
Set-up and Clean-up
Tabling and associated activities (including set-up and clean-up) must be held within Library operating hours. Clean-up must be completed immediately following each activity and no later than one hour prior to the scheduled Library closing hour. Exceptions must be approved in advance by the University Librarian.
KL155 on the first floor of the library serves primarily as a reading room, but it is available for limited use by:
- Office of Student Life and sanctioned UC Merced clubs
- UC Merced departments
Use of the space requires the approval of the University Librarian. The primary decision factor is balancing the need for student study space versus the broader interests of the University.
In recognition of the limited study space on campus and the importance of library spaces for studying, large events are not scheduled in KL155 during weekday daytime hours*, final exam preparation days, or during final exams.

Reservations
Reservations are made on a first-come, first-served basis. Reservations should be made as far in advance as possible to ensure availability of the room. Reservation requests must include set-up and clean-up time. Event coordinators/sponsors are required to be present during the entire period of the event and are responsible for compliance with Library policies during the event. Failure to comply with established policies may result in suspension of reservation privileges.
Use the Campus Reservation System to reserve KL 155 for an event; choose "Library Event/Meeting Space" from the dropdown menu.
- Student groups and organizations must contact the Office of Student Life. The Office of Student Life will coordinate reservations for KL 155 with the Library.
Access and safety
The glass doors provide primary access to the Library and primary emergency egress. Because of access and safety requirements, the area on the east side of KL155 between the sets of glass doors may not be used for event space. Additional furniture must not be moved into this side of the room, even for temporary storage. Event activities must not encroach on this space under any circumstances.
Furniture
Event coordinators/sponsors are responsible for room set-up and clean-up. Furniture on the west side of KL 155 may be moved as needed. Furniture may not be removed from KL 155. Furniture moving must be contracted with UC Merced Facilities Management department. Furniture must be repositioned immediately following an event.
Access to the coffee kiosk or to the doors that provide access to the west wing must not be blocked or obstructed.
The Library Help Desk may not be moved or used during events. The area around the Help Desk and the Library security antennae is off limits to all activities except legitimate Library business.
Occupancy
The posted occupancy rating for the room refers to fire exit capabilities and includes people exiting from upper floors in an emergency situation. The number of people who are allowed in the room for an event is less than the rated fire exit occupancy. Existing seating and tables in the room include:
- 20 four-person tables with chairs (80 seats)
- 3 four-person booths with tables (12 seats)
- 1 six-person booth with table (6 seats)
- 4 eight-person booths with low occasional tables (32 seats)

Moveable Walls
The moveable walls can be opened and closed only by designated Library staff. Requests to open those walls must be submitted with the room reservation. The walls cannot be opened on windy days, during inclement weather, or on days with projected high or low temperatures.

KL 355 on the third floor of the library is designated as a reading room. For exceptional occasions, it can be used for a non-library event. Non-library use of the space requires the approval of the University Librarian. The primary decision factor is balancing the need for student study space versus the broader interests of the University.
In recognition of the limited study space on campus and the importance of library spaces for studying, events are not scheduled in KL355 during weekday daytime hours*, final exam preparation, or final exams.

Furniture Layout
KL 355 must be used as configured. Furniture must not be moved within this room for an event. Additional furniture cannot be brought into this room. In most cases, this means that the room can be used only for a reception.
Occupancy
Maximum occupancy for KL 355 is 110. If alcohol is served, the maximum occupancy is 90. No exceptions.
Event Notification and Signage
On the day of the event, Library staff will post notices at the each of the three entrances (stair down to 255, two connecting bridges to KL380) that the room is reserved for non-library use.
Emergency Exits
The doors from KL 355 into the lobby of the third floor west wing are for emergency exiting only. It is a violation of California State Law and Library security policies to use these doors for any egress except for life-safety emergencies. No exceptions.
